Tips for Planning a Wonderful Event
1. Plan for appropriate power sources for either indoor and outdoor
locations - this includes music, lighting, and any other audio-visual
equipment.
For example for all outdoor events either the d.j. or client must supply a GFCI terminal to work from in order to be safe to workin damp situations.
Proper sized extension cords are needed for long distances from gfci certified outlet to system to avoid overheating.
The outlet provided for the d.j. should only be used for the sound to avoid interference and overloading.
If a generator is used for the event it must be grounded to insure safety of d.j. and guests.
2. Consider the type of crowd that will be at your event. Planning to
include their tastes as well as yours will ensure a good time for the
whole guest list.
3. Keep all people in 'the-know'. Make sure key people and hired
professionals such as your disc jockey and venue representatives have an
idea of how you want the evening to go so that they're aren't any
awkward lulls in the party.
3b. Do and do not play list (keep it short) so the d.j. has some guidance for your day
4. Make sure that your DJ has the appropriate type of equipment for the
venue - the same speakers that are used in a hall may not sound the way
you'd like them to when used outdoors.
5. Ensure that there is proper lighting for indoor as well as outdoor
events. This will create the right ambience for your celebration.
6. Confirm that the dance floor area is near the disc jockey so the
sound can be controlled to that area of the room. There should also be
access to an outlet near the dance floor.
7. Your disc jockey should be able to offer you direction and ideas for
the placement of speakers, music for entrances, help with DVD
presentations, games for giving away centre-pieces, games for kissing,
and fund-raising.

your big day!

10. If the DJ is to be on a stage behind the head table make sure the
backdrop is not in the line of vision or at least make it moveable once
the dance begins. Try to avoid this scenario at all costs.
11. An itinerary for the day's events should be sent to the DJ a week
before the event.
12. If the reception is outside have proper power source available with
separate lighting outlet for small tent lights.
13. When having a ceremony outside make sure sound is not in the sight
line of the photographer and if possible have the sound go with the flow
of the wind.
13b. Consider up-lighting for a tent to create the best ambience.
14. Insist on a windscreen on microphones when performing an outdoor
ceremony.
14b. Podiums for speeches should have a separate microphone stand to avoid resonance from nervous hands
15.Consider some sort of coverage for the elderly for outside ceremonies
and disc-jockey.
16. If power source for electrical is not covered, insure there is a
cover available in case of rain.
16b. Consider a backup source of power i.e. a generator or an invertor.
16c. All outdoor events must have a GFCI outlet for power. If you can not provide one make sure your disc-jockey can previous to the day
17. Make sure the professionals are fed if they are to be there during
the dinner.
18. Make sure emcee has all important information in regards to
bathrooms, smoking, to turn all cell phones off during speeches and safe ride home.
19. Do you have a podium for speeches, some disc jockey companies rent them to you cheaper than tent companies will.
A table podium with a dressed table in the colors of the even is more suitable than a stand alone podium
